Stage Management and Rehearsals at Events
An event requires coordination and time control in order to have the space required for rehearsals. The figure of the stage manager is important as well as the time for rehearsals to solve errors arising from improvisation.
Event Outline
A script is the event where the development of the event is outlined. This will serve as a guide for any presentation of the event, informing about the type of lights required, musical tracks, sound effects, microphones to be used, content on the LED screen or attached screens, the entrances and exits of speakers, or artists, etc. The detailed timing will facilitate the development of the event, and is the guide that will be used by all the team involved.
General rehearsal
Technically, events are becoming more complex, with multiple multimedia elements combined live and large audiences that increase via streaming. To maintain standards of excellence with zero errors, it is essential to carry out a general rehearsal. The logistics of the event must contemplate that when the assembly is finished, there is space available for this. This dress rehearsal is also used by the event presenters, speakers and artists. Each event is unique, and they are held in venues that require location control by the speakers and artists, controlling the dimensions of the stage, the distances from the screens and the audience, checking their microphones, lecterns, lights, multimedia elements, comfort monitors or possible live connections. It is a complex puzzle where all the pieces must fit into a new space with increasingly different technical specifications.
Technical pass
The technical pass allows the team to rehearse the entire event. To do this, the entire event is recreated as if it were live, but faster, repeating it as many times as necessary until achieving the greatest perfection and fluidity in the most complex moments. A technical pass leaves nothing to chance, rehearsing with extras the entrances and exits of speakers/artists, extras in possible live connections, or any need that the event requires. In this way, all the lighting, sound and video presets can be checked.
Technical rider
The artists provide their rider, where their technical needs are detailed in order to be able to perform the show according to their artistic vision. The artists also need time for rehearsals, to test their show at the event location, as well as the lights, sound and video. This is the moment when the technical team is made available to the artists, to jointly achieve an excellent live performance.
Stage manager
The role of the stage manager is extremely important in any event. He is responsible for providing the schedule, and ensuring that it is followed. He is the one who indicates the schedules and times for rehearsals, both technical and general rehearsals. In addition, he/she is the one who follows the event's schedule and warns the technical and artistic team so that it is carried out, even before it happens so that everyone is prepared and facilitates the following steps of the live performance. This is done through a closed circuit of communication with intercoms for the main figures of the team. A large event can have more than one stage manager, for example sharing the tasks of stage and technical control.
The event
Once the doors of the event are opened, nothing can be left to chance, and however complex the event may be, there is no room for technical errors. This prevents errors resulting from improvisation, however complex the event may be.
